If so, we are currently seeking an experienced and dynamic individual to bring their leadership and expertise to an executive support function within the Travel and Events program within our Finance organization.

The individual in this role must be self-driven, highly organized, resourceful, and proactive in supporting this team to help drive key projects, and initiatives.

Key job responsibilities

• This role directly supports two directors within the Finance Operations organization

• This role includes support and planning of several key meetings to help drive travel and events and finance team deliverables

• Manage complex calendars and scheduling to support teams in multiple locations

• Track and help drive completion of key deliverables and follow up on outstanding items (including meeting notes and action items)

• Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner

• Coordinate global schedules and seamless meeting logistics, such as video conference and conference calls for internal and external meetings, staff meeting agendas, all

• hands meetings, off-sites, etc.

• Work closely with the leadership team, recruiting and other Executive Assistants to provide support to the organization

• Document writing, editing, and readiness

• Ensure accurate archiving of departmental data on appropriate sites

• Management of team space, including moves and reconfiguration

• Expense reimbursement including report coordination, submission and issue tracking

• Support needs within the building/campus for Finance teams, helping to drive culture initiatives

Basic Qualifications

  • 5+ years of executive assistant experience

  • Experience with executive level calendar management

  • Experience with domestic or international travel coordination

  • Experience with Microsoft Office products and applications

Preferred Qualifications

  • Experience leading process improvements

  • Experience in a fast-paced, high-tech company

  • Experience designing processes to maximize efficiency
