Job Summary: A positive and enthusiastic person with a strong ability to multitask and oversee office functions welcome visitors, coordinate meetings and appointments, and support the company operations by maintaining office systems, overseeing operational efficiency, and effective communications.
Duties and Responsibilities:
Supports company operations by maintaining office systems.
Collect all information needed to calculate bills receivable (order amounts, discount rates, etc.).
Check the data input in the accounting system to ensure accuracy for the final bill.
Issue invoices and bills and send them to customers through various channels (mail, email, etc.).
Responsible for gathering and compiling timesheet data from employees across departments.
Maintains office services by organizing office operations and procedures, preparing timesheets for payroll, controlling correspondence, designing filing systems, reviewing, and clerical functions.
Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
Completes operational requirements by scheduling and assigning employees and following up on the new hire onboarding process.
Assist in recruiting, interviewing, and facilitating the hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.
Conducts or acquires background checks and employment eligibility verifications.
Assist in conducting new hire orientation with new employees and support employee recognition programs.
Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
Understands and promotes compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
Performs other duties as assigned.
Key Requirements, Education, and Experience:
Bachelor's degree in business administration is preferred.
Knowledge and Experience in Heavy Industrial Construction Industry preferred.
Minimum of 2 yrs. experience in Office Administration
Required Skills/Abilities:
Comprehensive knowledge of multi-craft services.
Proficient in MS Office with advanced knowledge of MS Excel
Excellent time-management skills, self-motivated, organization, and attentive to detail
Ability to communicate effectively, both verbal and written with customers and employees at all levels
Ability to understand and follow specific procedures and directions.
Must have a clear background and successfully complete drug screen.
Ability to work independently and as part of a team.
