Sierra Nevada Company, LLC Administrative Coordinator II in Beavercreek, Ohio

In this role, you will collaborate closely with MST leadership to execute a wide range of administrative tasks, ensuring that all site and personnel needs are met. As an Administrative Coordinator, you will leverage your extensive knowledge of processes and support to become the go-to person for the organization. Your responsibilities will include supporting all functional areas, filling gaps where needed, and providing a friendly presence at the front desk as well as adhering to our security policies for access. You will work with both an on-site team and a remote team of administrative professionals, contributing to the overall efficiency and positive atmosphere of the organization.

The Mission Solutions and Technologies (MST) business area provides affordable, turn-key command/control, communications, integrated ISR, force protection and security solutions worldwide. The MST team has a long legacy of supporting the Department of Defense, Department of Homeland Security, commercial and international customers with years of experience in platform operations, engineering and full lifecycle management across domains – air, land, sea, space and cyber.

Responsibilities:

  • Execute a broad scope of administrative tasks to ensure all site and personnel needs are met.

  • Coordinate meetings, events, and travel arrangements as needed.

  • Provide support to IT, HR, Facilities, and Security functions.

  • Carry out directives from supervisors and fulfill on-site personnel requests.

  • Support seating management and maintain photo plaques.

  • Manage, inventory, and order office supplies, breakroom supplies, and snacks.

  • Oversee facility visitor management processes.

  • Maintain and manage conference room schedules and upkeep.

Qualifications You Must Have:

  • High School Diploma or GED Equivalent and 2 years of administrative experience.

  • Proficient knowledge of Microsoft Office tools, including Word, Excel and PowerPoint is required.

  • Must have general knowledge of administrative practices, to include clerical duties such as data entry, filing and utilizing office equipment.

  • Must have experience with maintaining a secured facility, or working in a military or Department of Defense environment.

  • The ability to obtain and maintain a Secret U.S. Security Clearance is required

  • Strong Communication Skills: Excellent verbal and written communication abilities. Ability to interact professionally with visitors, clients, and staff.

  • Organizational Skills: Highly organized with strong attention to detail. Ability to manage multiple tasks and prioritize effectively.

  • Customer Service Orientation: Friendly and approachable demeanor. Exceptional customer service skills to ensure a positive experience for visitors and staff.

  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to learn and use other software and office equipment (e.g., phone systems, printers).

  • Problem-Solving Skills: Ability to anticipate needs and proactively address issues. Strong problem-solving capabilities for handling unexpected situations.

  • Professional Appearance and Attitude: Professional and neat appearance appropriate for a front desk role. Positive attitude and a high level of professionalism.

  • Time Management: Efficient time management skills to handle a variety of tasks with competing deadlines. Ability to work independently and manage time effectively.

  • Confidentiality: Ability to handle sensitive information with discretion and confidentiality.

  • Flexibility and Adaptability: Willingness to adapt to changing priorities and handle a variety of administrative tasks. Ability to work well in a team environment as well as independently.

Qualifications We Prefer:

  • Experience with executive level support Concur travel and expense

  • Experience supporting events Managing budgets or reconciling purchase cards

  • Familiarity with office management procedures and basic accounting principles is a plus.
