Midwest Goods Inc. Returns Associate Level in Bensenville, Illinois
Location : Bensenville, IL
Schedule: Monday-Friday 9:00 AM – 6:00 PM
Status: Full Time (Non-Exempt)
Compensation: $20 to $22 per hour
Summary/Objective
The Returns Associate (Level III) works closely with our Office, Warehouse, and department team members to address all Customer and vendor questions regarding product claims, replacements, and returns. This position is also responsible for processing returned items from customers including handling and inspecting returns, and processing information pertaining to merchandise to be returned to the manufacturer because of defects or quantity errors. must have multi-tasking abilities, know how to print purchase orders, and check in damaged products. Ability to communicate clearly and effectively, both verbally and in writing, to convey the details of the defective items to vendors. This includes explaining the issues with the products, providing relevant information such as purchase orders or invoices, and discussing potential solutions. Understanding of Zoho, Big Commerce, Google mail, Google Sheets, Monday.com-CRM task management, and Excel spreadsheets.
Essential Functions
- Returns Processing and Documentation
• Process package returns efficiently and accurately, ensuring all relevant information such as quantity, type of defect, and return date is recorded in our systems.
• Manage returns processed through Shipstation, resolving any issues or discrepancies promptly.
• Handle RTS (Return to Sender) packages, ensuring proper documentation and disposition.
• Generate and manage purchase orders for returned items and pallet returns, ensuring accuracy and timeliness.
• Process pallet returns, carefully inspecting and documenting any damages or discrepancies.
• Create dummy purchase orders for pallet returns, ensuring accurate tracking and reconciliation.
- Order Management and Coordination
• Manage swapped orders, coordinating with the shipping department to facilitate exchanges and replacements.
• Coordinate orders through Kros Monday.com and Sample Monday.com, ensuring smooth processing and fulfillment.
• Handle show pallets and promotional projects, including preparation and organization as needed.
- Customer & Supplier Interaction
• Investigate and resolve shipping issues, including missing or wrong-sent items, to ensure customer satisfaction.
• Assist in processing claims with suppliers and managing product-related issues effectively.
• Monitor and respond to emails in the Returns Department Gmail account and address Zoho Desk tickets promptly.
• Make necessary calls to customers or suppliers regarding returns, exchanges, or other related matters.
- Product Handling and Inventory Management
• Manage warehouse damages and coordinate with the appropriate departments for resolution.
• Handle receiving damages and ensure proper handling and documentation.
• Dispose of defective products in accordance with company guidelines.
- Compliance and Cross – Departmental Support
• Ensure compliance with company policies and procedures regarding returns and exchanges.
• Provide assistance to other departments as needed.
• Perform other duties as assigned by the Returns Manager.
Experience & Skills Required
● High attention to detail and accuracy in processing returns and managing inventory.
● Strong organizational and time management skills to prioritize tasks effectively.
● Excellent communication skills, both written and verbal, for interacting with customers, suppliers, and internal teams.
● Ability to work collaboratively in a team environment and adapt to changing priorities.
● Proficiency in using software systems such as Shipstation, Kros Monday.com, and Zoho Desk preferred.
● Previous experience in returns processing or a related field is advantageous.
● Physical ability to handle warehouse duties, including lifting and moving packages as needed.
● Ability to lift and carry heavy objects and equipment, often in challenging environments.
● Willingness to undergo training and certification programs as required by the company.

This position is very active and requires standing, walking, bending, kneeling, stooping, climbing, reaching up and lifting. The employee must be able to lift and move items up to 60 pounds.
Position Type/Expected Hours of Work
This is a full-time position, 40-45 hours per week. Days and hours to be specified, weekends as needed.

Travel is not required for this position.
Required Education and Experience
A Graduate is highly preferred. A High school diploma or equivalent, Ability to read and write English, follow verbal instructions. Minimum 4 years of experience preferred in the relevant background.
