AON Executive Assistant, Public Affairs in Chicago, Illinois
Have you supported executive-level leaders through meeting scheduling, expense reports, and other special projects? If you enjoy this work and would like to interact with internal and external leaders daily, this may be the role for you!
This role will be part of the Public Affairs team within the Office of the President and will report to the Director of Public Affairs. You will be responsible for reporting, leading, logistics and analysis of department operations and project management for ongoing department initiatives.

What the day will look like
Schedule and coordinate meetings for external and internal partners successfully, including both in-person meetings and conference calls. This includes bringing together proper invitees in a timely fashion, despite complex logistics, multiple time zones, a dynamic environment and limited availability.
Arrange all travel and logistics—including international travel—via corporate travel systems and/or directly with travel vendors. Handle any re-booking and scheduling changes that arise en route.
Manage expense books for all other department team members using corporate financial software to ensure timely account payment
Manage executive calendar in concert with the principal.
Respond to incoming meetings requests.
Administer the Aon PAC (Political Action Committee) and lobbying reports in compliance with all state and federal laws and filing requirements. Implement strategic action plans using project management skills for on-time delivery of identified business objectives
Collaborate with the Public Affairs team on complex and highly critical projects/initiatives.
Coordinate political and fundraising events at Aon offices in Chicago and around the country
Act as a key resource for the team, i.e., independently seek out answers to questions, take initiative, leverage network of resources to solve problems and proactively cascade knowledge to peer network
Coordinate periodic mailings and distribution of promotion materials to external partners.
Support logistics arrangements for special events at Aon offices in Chicago and around the country

Skills and experience that will lead to success
5+ years of experience in a professional administrative support role highly desired.
Position based in our downtown Chicago office but will be hybrid.
Ability to prioritize among competing demands in a dynamic professional environment is a requirement.
Previous exposure to the area of public affairs highly desired.
Advanced skills in the MS Office including Word, Excel and PowerPoint
Ability to work in a highly matrixed environment
Self –motivated with an ability to proactively recognize opportunities for continuous improvement
Ability to communicate effectively with all levels on the organization desired.
Ability to demonstrate discretion and sound judgment when interacting with internal and external parties.
Should be experienced in project management
Proven ability to keep financial, legal, and other information confidential
Excellent written and verbal communication skills, including proofreading
Strong problem solving skills
Organized with strong attention to detail

Pay Transparency Laws:
The salary range for this position (intended for U.S. applicants) is $65,000 - $85,000 annually. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant’s geographic location.
The salary range reflected is based on a primary work location of Chicago, Illinois The actual salary may vary for applicants in a different geographic location.
This position is eligible to participate in one of Aon’s annual incentive plans to receive an annual discretionary bonus in addition to base salary. The amount of any bonus varies and is subject to the terms and conditions of the applicable incentive plan.
