Elmira College Executive Assistant of Institutional Advancement in Elmira, New York

Elmira College is a private liberal arts College located in the Finger Lakes region of New York. Elmira College was the first college to offer a comprehensive curriculum for women, and is home of the Center for Mark Twain Studies. We are seeking an Executive Assistant for Institutional Advancement.The Executive Assistant for Institutional Advancement assists and relieves the Division of operational and administrative details and performs administrative functions that require a thorough knowledge of Elmira College Institutional Advancement policies, procedures, and operations. This position is the first point of contact for the Division.Essential Duties and Responsibilities:Serves as the first point of contact for the Division by answering the telephone and departmental emails. Answers the Vice President’s telephone when the VP is unavailable or out of the office.Maintains the Vice President’s and Associate Vice President’s calendars. Calls alumni and donors to obtain and confirm appointments for the Vice President and Associate Vice President. Prepares draft bios for donors and alumni.Prepares materials for the Vice President, Associate Vice President, and Director of Alumni Engagement for on- and off-campus meetings and events, such as agendas, meeting minutes, talking points, fundraising brochures and folders, and draft reports for committee and board meetings.Assists in meeting the needs of the volunteer Boards of the College: Board of Trustees at the Advancement committee meetings; the Alumni Board at full board meetings and committee meetings; and the President’s Council at meetings and committee meetings.Assists the Division with the creation, planning, and execution of alumni and donor events both on and off campus, including but not limited to Alumni House and Octagon Fair reservations.Provides research support for the division, including alumni records, donor records, potential granting agencies, award nominees, and potential Board and Council candidates.Plans for and arranges travel for frontline fundraisers, including but not limited to the Vice President, Associate Vice President, Executive Director of Grants, Director of Annual Fund, and Director of Alumni Engagement.Monitors Institutional Advancement budget accounts and prepares expense vouchers. Reconciles the Vice President, Associate Vice President, Director of Alumni Engagement, and Director of Annual Fund credit card statements each month. Reviews check requests and purchase orders for correct allocation. Reviews provisional budgets with AVP and VP for the upcoming year.Supports the Division with constituent mailings.Maintains filing for Vice President and Associate Vice President.Provides excellent customer service for alumni, donors, campus visitors, parents, and students in office visits, telephone calls, and emails.Inputs pertinent alumni and donor information and actions into Raiser’s Edge.Organizes electronic and physical file archives.Maintains CASE and other memberships.Manages surveys, as needed.Assists and attends campus-wide events such as Admission events, Employee Recognition, Orientation events, Midnight Breakfast, Mountain Day, etc.Qualifications:Self-directed individual with strong interpersonal, organizational, and communication skillsAbility to work in a fast-paced, dynamic environment overseeing multiple projects involving external and internal constituencies (alumni, donors, trustees, students, faculty, staff, and vendors)Microsoft Office and G-Suite (Google applications) skillsExperience in an office setting preferably in education or a related fieldMinimum of an associate’s degree with a bachelor’s degree preferredPreference will be given to an applicant who has experience with Raiser’s Edge (donor database)Working Conditions:Work is performed on-site (not remote) primarily in a standard office environment with frequent public contact and interruptions.
