Job Summary

The Administrative Assistant Associate will provide administrative support to the University Advancement team, assisting with functions related to fundraising, alumni relations, and communications. Your role will involve coordinating office activities, maintaining records, and supporting the operations of advancement efforts to build strong relationships with alumni, donors, and other key stakeholders.

The Administrative Assistant Associate will directly report to the Campaign Initiatives & Alumni Engagement Director.

Responsibilities*
  • Prepare routine correspondence following established procedures
  • Manage the main phone line, take messages, and handle inquiries
  • Perform filing, copying, faxing, and scanning
  • Use mail merge for bulk email, letters, labels, and envelopes
  • Order office supplies and maintaining inventory
  • Make travel arrangements for team members and guests
  • Process donations, prepare gift reports, and ensure documentation
  • Prepare P-Card and hosting documentation for reconciliation
  • Schedule appointments and manage calendars
  • Secure purchase orders and process invoices
  • Process People Pay requests following university policies
  • Assist with planning/execution of events, including coordinating with Events and Building Services, caterers, managing reservations, preparing nametags, and attending events
  • Compile and prepare basic data, charts, graphs, or tables for reports and presentation materials
  • Use university CRM to input and record transaction data
  • Complete special projects as assigned to support department needs
Required Qualifications*
  • High school education or equivalent
  • 1 or more years of administrative experience
  • Proficient written and verbal skills
  • Must have customer service experience
