This Office Assistant role is essential in ensuring the smooth daily operations of our non-profit organization. Key Responsibilities:

  • Administrative Support: Handle clerical duties including filing, sorting, photocopying, data entry, and organizing documents to ensure an efficient workspace.

  • Reception Duties: Greet visitors, answer phone calls, and direct inquiries to the appropriate team members in a friendly and professional manner.

  • Scheduling and Coordination: Assist with scheduling meetings, organizing calendars, managing event RSVPs, and coordinating room reservations for staff.

  • Mail & Communication Management: Sort, receive, and send daily mail and packages, as well as manage general email correspondence for the office.

  • Donor and Volunteer Coordination: Maintain records of donors and volunteers (physical or digital), and support efforts such as donor communications, thank-you letters, and event planning.

  • Data Entry & Record Keeping: Accurately input data into organizational databases, keeping files and donor/volunteer records up-to-date and well-organized.

  • Event Support: Provide logistical and administrative support for events, including onsite assistance, preparation of materials, and vendor coordination.

  • Office Supplies and Equipment: Monitor and manage inventory of supplies and office equipment, placing orders and coordinating repairs when needed.

  • Team Support: Provide general administrative assistance to staff and leadership, including preparing basic reports, assembling meeting agendas, and proofreading documents.

  • Confidentiality & Sensitivity: Handle sensitive information, such as donor records or participant details, with the highest level of discretion and professionalism.

  • Special Projects: Assist with special projects related to the organization's mission, such as outreach efforts, program materials, or community events, as assigned.

    Requirements

Qualifications:

  • Education: High school diploma or equivalent required; an associate degree in business administration, communications, or a related field is preferred.

  • Experience: 1-3 years of administrative or office support experience, preferably within a non-profit or community-focused environment.

  • Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and able to quickly learn organizational databases or donor management systems.

  • Interpersonal Skills: A warm, professional demeanor with the ability to work well with a diverse group of staff, volunteers, donors, and community members.

  • Organization & Multitasking: Exceptional detail-oriented organizational skills, with the ability to handle multiple projects and deadlines effectively.

  • Communication Skills: Strong written, verbal, and interpersonal communication skills, with the ability to draft professional correspondence and provide excellent customer service.

  • Mission-Driven Commitment: Genuine enthusiasm for supporting the mission and objectives of a non-profit organization.

  • Problem-Solving: Proactive approach to identifying and addressing challenges with creativity and resourcefulness.
