Description
A.T. Still University's Arizona School of Dentistry & Oral Health (ATSU-ASDOH) is seeking a full-time non-exempt Operations Specialist on the Mesa, Arizona campus.
Duties & Responsibilities:
Facilitate the delivery of applications and ensure accessibility to hiring supervisors, facilitates necessary documentation (CPR cert, license, NPI, DEA, etc.) for adjunct faculty onboarding.
Create a file for new hires on G:drive and scan all employee paperwork from application through end of employment.
Responsible for maintaining copier functioning (jams, cleaning, repair calls, and maintenance).
Responsible for editing, adding, and updating ASDOH Administration's main copiers user database.
Complete annual State Board license renewal application process, if needed.
Manage E*Value for the Operations department for Faculty & Staff tracking.
Order name badges for new hire faculty members and re-order for lost, stolen or damaged current faculty members.
Facilitation of all Adjunct Faculty contracts, Consulting Agreements and Visiting Lecturer contracts for ASDOH.
Track position status, budget, employee status, salary fluctuation, and charting for FY reporting and budgets.
Verifying that Dean, Vice Dean & 20/20 Council are well informed of the status of all pending, processing, and finalized HR items/issues/processes.
Create status & memos for employee status changes (hire, term, promote/demote, transfer), create new faculty contracts (as needed), manage personnel requisitions and job descriptions.
Check requests for payment of visiting lecturers, employees, and collect W9 forms.
Review and modify org charts as positions are added or changed.
Maintain master Google tracking spreadsheet of employee status.
Coordinate and track faculty re-credentialing Annual process (DEA, CPR, Dental License, NPI, CV/Resumes, State Board, etc).
Maintain process flow charts for clinical and operational processes.
Assist Director in developing, implementing, and enforcing ASDOH policies and procedures.
Set up annual meetings to discuss adjunct faculty contract revisions and make necessary revisions before next FY contract implementation.
ASDOH point of contact for all HR communication and coordination.
Assist with travel for faculty, staff, and students as needed.
Serve as backup for weekly deposits of clinic patient receipts.
Perform annual evaluation of supervisor roles on org chart for each employee (track changes and notify all appropriate parties).
Other duties as assigned.
Requirements
Associates degree.
Experience with computer entry, data management using spreadsheets and basic accounting experience using checks and balances.
Experience in a University or Health Care professional institution is helpful.
Strong Microsoft Office computer skills a must.
Prioritizing and organizing skills required.
Time management and attention to detail skills.
Communication and leadership skills.
Must be a Team player.
Must be a self-starter with ability to work without constant supervision.
Experience handling confidential information a must.
