UHealth Department of Surgery has an exciting opportunity for a full time Clinical Program Coordinator (H) position. The incumbent assists in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Moreover, this employee provides general oversight to daily program activities in support of the University’s mission. The Clinical Program Coordinator (H) may also monitor the financial performance of programs to meet departmental goals and assists with short- and long-range budgetary planning.
CORE JOB FUNCTIONS
Evaluates program effectiveness, analyzes results, and recommends appropriate action.
Coordinates program activities with other program, department or staff activities, ensuring optimum efficiency.
Trains, develops, and empowers staff to effectively perform their jobs.
Acts as a main point of contact for project funders, advisors, speakers, and participants, and recruits program participants, members, and volunteers.
Develops cooperative relationships with patients and families by projecting a positive image and creating a professional atmosphere.
Develops program communications and promotional literature for distribution, including newsletters, brochures, and flyers.
Prepares periodic reports, financial statements, and records for management or outside agencies.
Maintains patient confidentiality as well as the confidentiality of hospital business information.
Oversees the maintenance of established supply levels in unit and supply rooms.
Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS
Bachelor’s degree in relevant field.
Minimum 2 years of relevant experience.

Department Specific Functions
The Clinical Program Coordinator (H) assists in the development, organization, production, and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit.
Moreover, this employee provides general oversight to daily program activities in support of the University’s mission.
The Clinical Program Coordinator (H) may also monitor the financial performance of programs to meet departmental goals and assists with short- and long-range budgetary planning.
Clinical Program Coordinator performs a variety of clerical functions and office support activities for the assigned department(s) to facilitate the efficient operations of the office.
In this role the person will provide comprehensive administrative support to the Oral Maxillofacial Surgery service.
This includes serving as business and program support to the Clinical, Research, and Education activities of the divisions.
The person will support the General Practice Residency (GPR) program for Oral Maxillofacial Surgery.
Also coordinate rotation and on-call schedules ensuring a smooth day-to-day operation within the division.
This position plays a critical role supporting dental office practice managers with the business operations support and interfaces with patient experience, invoice reconciliation, patient payments for dental treatment, lab order management/reconciliation and ensures orders and supply are maintained and reconciled periodically.
Supports OMFS Faculty members and medical staff with all administrative needs. (10 faculty members)
Maintains office supplies and equipment, ensuring that they are stocked, organized, and functioning properly.
This includes ordering and receiving supplies, checking inventory, and reporting any issues or malfunctions.
Works the escalation list, late cancellation and contacts patients for move up appointment.
Also, calls patients to confirm next day’s appointments at the request of providers for chronic no shows. Identifies no-shows and cancellations, and reschedules patients as appropriate for follow-up Schedules appointments with specialists for patients needing that treatment. Transfers/Burns CD any x-rays and /or records requested by another dental office.
Responsible for verifying dental coverage, and authorizations for treatment/services Determines program eligibility for patients and completes the application procedures as well as generating estimates for dental treatment and records financial arrangements in the system.
Responsible for reconciling patient payment against treatment and lab fees.
Provides administrative support to the education program by coordinating resident interviews, resident schedules, curriculum update and maintain resident’s evaluations.
Monitors, reconciles, and assists with administrative support for the division, including but not limited to credentialing, licensing, board certification, travel and/or purchasing for the unit.
Attend / coordinate meetings as needed and prepare meeting minutes. Maintain administrative procedures, including business mail, travel arrangements, expense reports, authorizations and approvals Acts as a contact person for all clinical and non-clinical questions and concerns. Maintains calendar, types, provides routine and general clerical support which may include patient care, student service, reports, and statistics.
Prepares financial forms (IDRs, BEFs, Pos, work orders, check requisitions, etc., for the division).
Participates in the design and development/renovation of space for the section/unit on as needed basis.
Maintains safe, secure, and healthy work environment by establishing and following standards and procedures; complying with legal regulations.
Keeps equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
Performs other duties as assigned.
