Minimum Qualifications
MINIMUM QUALIFICATIONS:
Three years of experience or training in clerical work.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Examples of Work
The incumbent in this position manages administrative support services for the Office of Public Health (OPH) Region 8, which consists of 11 parish health units and a regional office. Work is performed under minimal supervision of the Assistant Regional Administrator and the Regional Administrator. Duties are highly complex and require a high degree of independent judgment by the incumbent. Functionally supervises parish health unit staff who perform duties as, but not limited to: purchasing, budgetary coding, financial reports, Fiscal matters, payroll, Bank of America P-Card system, postage requests, purchasing contracts for 11 health units; this includes lead workers and supervisors.
The duties and responsibilities of this position include but are not limited to:
• Prepares and maintains annual operating budget, secures financial records, prepares purchasing requisitions, verifies receipts of supplies ordered and received, and prepares necessary documents for payment according to LaGov guidelines.
• Supervises inventory of current state properties and adheres to the rules and regulations set forth in Policy 2424-81 (Section C).
• Serves as Time Administrator for Regional Office by utilizing SAFGUI/PTMW to run reports and verifying time data and that deadlines are met per policy. • Review payroll reports and support documents for accuracy to present for auditing purposes.
• Assists with shelter operations during emergencies and/or disasters.
• Utilizes AGPS/LaGov system for creating and maintaining orders for rental on copy machines and Pitney Bowes postage machines.
• Compiles statistical reports (weekly, monthly, quarterly, and upon request) for program management profiles.
Schedules and coordinates staff meetings. Attends meetings and in-service training to upgrade skills. Performs any duties not reflected in other duties but necessary for the smooth operation of the Regional Office.
• Serves as Fleet Manager for state-owned vehicles in Region 8 by collecting vehicle logs at the end of the month and preparing reports and submitting per protocol. Schedules vehicles for maintenance and completes forms and reports per protocol. Develops and maintains a scheduling calendar for reserving and use.
• Maintains a schedule to reserve conference rooms at Regional Office.
• Assists with telecommunication request, troubleshooting problems with phone system, and voicemail requests.
• Completes statistics and other pertinent information for Exposure Reports quarterly.
• Completes and submits the Office of Risk Management Property Exposure Reports twice per year.
• Serves as the coordinator for the maintenance and upkeep of the Regional Office for building and grounds.
• Schedules meetings and appointments as directed by the Regional Medical Director and Regional Administrator. • Disseminates information regarding trainings and meetings to appropriate staff.
• Schedules new employees for photo IDs and helps facilitate the onboarding of new employees.
