Burke & Herbert Bank & Trust Facilities Assistant CLASSIFICATION:Non-exempt REPORTS TO:Director of Facilities JOB DESCRIPTION Summary/Objective Performs administrative and coordination duties for the Director of Facilities. Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Assist in managing properties utilizing property management software (IMPAK) to ensure property management company is responding properly and to ensure IMPAK is properly documented. * Report to supervisor any problems, changes or delays in requested work. * When necessary, schedule vendor work tasks as needed for job completion and document results. * Coordinate proposals and contracted work as directed. * Maintain files for relevant facilities related matters. * Visit Branches when necessary for current projects and vendor coordination. * Perform semi-annual inspections of bank facilities, document findings, and ensure resolution with property management company. * Managing day-to-day facilities requests. * Maintain the Branch contact list for property management company. * Coordinate and follow-up on work requested through property management company. * Coordinating with contractors. Other Duties * Assist Director with furniture requests. * Assist with bidding process for bank signage. * Other duties as assigned. Skills/Abilities * Intermediate skills in Microsoft Office including Excel, Outlook, Word, and PowerPoint. Supervisory Responsibility This position does not have supervisory responsibilities. Work Environment This job operates in an office setting, the opportunity to telework is not available. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Office environment with job duties conducted via telephone, face to face meetings, and on the computer. Physical Demands This position requires manual dexterity, the ability to lift files and open cabinets. This position requires bending, stooping or standing as necessary. Travel Periodic travel is requiredfor this position. Education and Experience * High school diploma or equivalent * At least two years of administrative/office experience * Experience in facilities/property management a plus.
