The Team

The India Country Office (ICO) business team cluster works on behalf of the organization to ensure a robust country strategy, effective and efficient planning and management of program portfolios, and dynamic learning and adaptation to achieve goals in a sustainable manner. To this end, the cluster supports strategy development and reviews, implements fit-for-purpose business and portfolio performance management systems and processes. The cluster also provides efficient, timely, and predictable administrative support and promotes strong collaboration within and across foundation teams and external partners.

Your Role

The Project Manager, will be responsible for coordination, implementation and maintenance of a range of projects and activities in support of the investment life cycle portfolio management and business process management. The incumbent will serve as a support for grantee and vendor initiation, provide budget oversight and assist in financial analysis and reporting for select, complex investments and initiatives. The Project Manager will also serve as liaison across multiple internal teams and be responsible for quality assurance of portfolio management processes, help plan and implement team capacity strengthening efforts, and lead special projects for the business team.

The role will report to Senior Program Manager, Strategy, Planning and Management.

What You’ll Do

  • Project & Investment Management: Lead end-to-end investment processes on complex investments/portfolios, including managing key deadlines, tracking invoicing and deliverables, reviewing reports, and ensuring compliance with internal and external requirements. Lead quality assurance of processes including spot checks and reviews of investment making processes, documentation, communication etc. Lead special projects related to portfolio management, leadership reporting and knowledge management.

  • Portfolio Analysis and planning: Effectively manage and quality check data in financial databases and SharePoint, ensuring data integrity for accurate reporting and decision-making. Provide financial analysis and serve as a key resource for tracking budget targets and portfolio management to the Sr Program manager.

  • Strategic portfolio management support: Support assignments related to investment-making and portfolio efficiency. Assist with annual portfolio planning, management and review processes, onboarding, and cross-team learning initiatives.

  • Partner Collaboration: Work closely with investment owners, program teams, business partners, grantees, and vendors to facilitate complex investment execution, monitor portfolios, and provide insights for decision-making.

  • Process Improvement & Training: Identify areas for process enhancement, lead improvements, and provide training and coaching on tools, systems, and templates to ensure effective adoption.

  • Data Management & Insights: Support data analysis, including dashboard creation for portfolio insights. Maintain SharePoint and document management systems for streamlined operations.

  • Cross-Foundation Coordination: Assist in managing cross-team coordination forums, investment planning meetings, and collaboration with global business teams on process improvement initiatives.

    Your Experience

  • Bachelor’s or other advanced degree with a minimum of 5 years of experience, or equivalent experience. Master’s in business administration/program management preferred.

  • Project management, portfolio management, program management, financial management, financial reporting, non-profit or related industry, and/or business experience preferred.

  • Expertise in process management, continuous improvement, ability to conduct QA/QC on documents and processes, financial analysis, and portfolio management, with strong knowledge of budgeting and data synthesis across multiple tools.

  • Ability to assess risks, synthesize complex information, and provide data-driven insights to support decision-making in a dynamic environment.

  • Strong interpersonal and communication skills to collaborate across diverse teams, manage confidential information with diplomacy, and build trust with internal and external partners.

  • Highly organized with the ability to manage multiple tasks, competing priorities, and tight deadlines while maintaining strong attention to detail and policy compliance.

  • Comfortable navigating ambiguity, cultural diversity, and evolving challenges with flexibility, efficiency, and a solution focused approach.

  • Advanced proficiency in Excel, SharePoint, and other web-based applications (e.g., Salesforce), with the ability to train and mentor junior staff on technical skills and business processes.
