West Sound Workforce is partnering with an established wellness clinic in Poulsbo specializing in naturopathic and eastern medicine modalities to source a Front Office Receptionist. This clinic is dedicated to creating a safe, welcoming space for clients to share their healing journeys. Providing a variety of services, they focus on helping clients maintain wellness amidst life's demands.
As the Front Office Receptionist, you will play a pivotal role in ensuring the clinic operates smoothly and efficiently. Reporting directly to the Clinic Manager, you will be the first point of contact for patients, providing exceptional customer service while managing a range of administrative responsibilities. From greeting and checking out patients to scheduling appointments, overseeing inventory, and coordinating with other healthcare providers, this role requires someone who thrives in a fast-paced environment and can juggle multiple priorities with professionalism and care. Shift information:
- Mon, Wed, Fri 8am-4pm and Tues, Thu 8am-5pm
What you will do as Front Office Receptionist:
- Welcome patients warmly, manage check-in and check-out processes, and provide an exceptional front office experience
- Schedule appointments, answer phones, respond to inquiries, and coordinate referrals with other medical professionals
- Maintain organized patient records, manage filing systems, and ensure accurate documentation in compliance with HIPAA guidelines
- Oversee inventory for the natural dispensary and clinic supplies, ensuring timely restocking and availability
- Process payments, handle banking deposits, and assist with data entry tasks using QuickBooks
What we are looking for:
- Minimum of 1 year of experience in a front office or administrative role, preferably in a healthcare setting
- Strong customer service skills with the ability to provide a professional, patient-focused experience
- Proficiency with QuickBooks, Microsoft Office Suite, and (ideally) electronic medical record systems
- Excellent multitasking and organizational skills, thriving in a fast-paced environment with attention to detail
- Familiarity with HIPAA and medical confidentiality standards
