The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
With minimal direction and considerable latitude for independent judgment, performs complex secretarial and administrative duties in a fast-paced environment in support of clinical, educational, and academic programs. Responsible for all clinic preparations, including but not limited to, providers' time and calendar management while optimizing provider patient schedule, coordination of patient care and information/data support.
SUPERVISION AND DIRECTION RECEIVED: Receives minimal direction from physician, mid-level providers, department head and/or administrative officer. Is responsible for independently planning, executing and evaluating own work.Schedule 8 AM-4:30 PM Responsibilities GENERAL PURPOSE: Using independent judgment and initiative, the Administrative Secretary to Cardiology physicians performs routine and non-routine duties of a highly confidential nature. Duties will include coordination of patient care, teaching and research activities. The position reports directly to the Office Manager and will also work in collaboration with the, Administrator II, Nurse Manager, Medical Director and health providers. The incumbent will apply University policies, procedures and privacy standards in the performance of all duties. RESPONSIBILITIES: - Schedule procedures, appointments and ancillary tests with input from physicians and other health care personnel. Provide patients with procedure descriptions and special instructions as necessary. This requires the ability to evaluate medical information provided, to provide answers to questions asked by patients and to clarify information as needed for other areas. Responsible for ensuring test results are received, reviewed and appropriately filed. Work closely with Cardiology scheduling team in coordinating provider schedules with non-clinical commitments. Coordinate patient information; entry of data into eRecord and Cadence databases as necessary. - Support for Nurse Practitioners and other health care professionals responsible for delivery of patient care. - In a professional manner, assess and appropriately triage calls; gather information, evaluate callers concerns and refer to physicians or other health care personnel to address. Must possess the ability to determine which questions should appropriately be addressed by physicians or other health care providers. Respond to callers independently and follow-up to be sure customers are satisfied that requests were handled in a timely fashion. - Manage/monitor in-baskets/workque on a daily basis to ensure referrals, appointments, telephone encounters and all related activities are completed and accurate; communicate any discrepancies back to clinical support and/or provider for clarification. Review of AVS (After Visit Summary) when necessary. Template management/office schedules for multiple providers - Acts as liaison for contacts to area physicians to facilitate securing of new referrals for Cardiology providers. Provide Administrative support to include: preparation and distribution of correspondence and reports; preparation of faculty medical school and hospital appointment paperwork as requested. Prepare and process clinical research-related abstracts, manuscripts, and other correspondence. Compile data and create materials for teaching activities and presentations. Respond to general inquiries; process mail; compose, type and distribute correspondence; maintain files; schedule meetings and manage calendars. - Contributes to operations including supply maintenance, and opening and closing of facility as needed. Ordering of supplies through workday/P2P. In the absence of office manager, solves operational problems and provides direction to coworkers. Cross-coverage in shared clerical office; special projects and other responsibilities as assigned. - Possesses the knowledge, skills, and abilities to support the Medical Records department as needed. Other duties as assigned QUALIFICATIONS: - High school diploma or equivalent required - Associates degree in Medical, Secretarial, billing or related field preferred - Minimum of 2 years of relevant experience required - 1 year of leadership experience preferred; - or equivalent combination of education and experience required - Demonstrated customer service skills required - Medical Terminology, experiences with surgical/appointment scheduling software and electronic medical records, preferred.
