College of St Benedict Facilities Operations Coordinator in Saint Joseph, Minnesota
The College of Saint Benedict invites applications for a full-time (1.0 FTE), benefit eligible position of Facilities Operations Coordinator. The Facilities Operations Coordinator is integral to the efficient operation of the College of Saint Benedict's Facilities Department. This role is responsible for coordinating daily maintenance activities, managing work orders, tracking departmental budgets, processing invoices, and facilitating clear communication with vendors and the campus community. This position plays a key role in ensuring that buildings, grounds, and equipment are maintained effectively, and that the department operates smoothly. Responsibilities Administrative and Operational Support Provide administrative assistance to the Director of Facilities Management and department staff, including scheduling meetings, preparing reports, and handling correspondence. Maintain accurate and up-to-date records of all facilities operations, including work orders, vendor contracts, equipment warranties, and maintenance logs. Serve as the main point of contact between the Facilities department and the campus community, vendors, St. John s University, and the Sisters of the Order of Saint Benedict, ensuring effective communication regarding maintenance issues and project updates. Perform other administrative and operational duties as necessary to support the smooth functioning of the Facilities department. Facilities and Work Order Management Oversee the intake, prioritization, assignment, and completion of work orders to the appropriate facilities team members. Maintain relationships with vendors, ensuring that contracts are up-to-date, service is delivered as required, and invoices are processed. Assist in obtaining quotes for services and materials as required by the procurement policy. Budget and Inventory Control Assist in tracking the Facilities department budgets, including monitoring expenses for maintenance, repairs, and utilities. Provide regular reports on budget status. Monitor and maintain an inventory of maintenance supplies and equipment. Coordinate orders for new supplies as needed. Compliance and Safety Management Assist with ensuring the department complies with local, state, and federal regulations, including safety and environmental regulations. Help coordinate safety inspections, training, and documentation.
