I-Civil Admissions will work under the supervision of the Administrative Assistant IV, Social Services, performing entry-level administrative support work for the Director of Civil Admissions. Duties include preparing various types of communications, writes and edits documents, letters and reports. Will assist with organizing and preparing meeting documentation including meeting agendas and handouts; record and transcribe meeting minutes. Demonstrates ability to understand and follow general instructions, applying clerical experience and will utilize verbal and written communication skills. Will utilize knowledge of commitment types and the commitment process when screening civil admission calls in order to complete admission referrals from external sources. Will demonstrate basic knowledge of Microsoft Word, CWS and CARE system. Will work harmoniously with co-workers and other departments, as well as external entities to include LMHAand#146;s and will follow facility attendance policy.Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.Essential Job Functions1. Provides direct assistance to the Director of Civil Admissions helping to stay organized and complete tasks in a timely manner. Manages all the administrative functions and services for the Director of Civil Admissions. Prepares communications such as memos, emails, invoices, reports and other correspondence on the Directorand#146;s behalf. Responds to internal and external requests for information. Writes and edits documents from letters to reports and instructional documents. Maintains confidential and sensitive information and files. Schedules appointments and maintains calendars.2. Answers/screens incoming civil admission phone calls and emails, gathers information in order to complete admission referrals from external sources. Obtains and relays key information accurately to the Director of Civil Admissions for needed follow-up.3. Maintains and monitors Statewide and Facility tracking systems for civil admissions. Enters new referrals into the admission database, removes referrals that no longer need/require admission.4. Maintains communication with LMHAs and other referring entities to ensure individuals are still in need of admission and updates database as needed.5. Assists in organizing and relaying information for pending admissions. Coordinates with admissions and commitment staff to ensure all needed documents for admission are complete and distributed to the appropriate hospital staff/departments6.
