Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.

  • Proficiency with Windows operating system.

  • Proficiency in Microsoft Office Suite, to include Word, Excel, and Outlook.

  • Proficiency in SAP and SAP GUI to monitor departmental budget.

  • Proficiency in SAP electronic PCR processing.

  • Proficiency in purchasing procedures and reimbursements.

  • Ability to consistently interact professionally and courteously with coworkers and visitors to provide information about processes/procedures and assist in finding solutions.

  • Ability to prepare clear, concise, and grammatically correct memos, reports, letters, and emails

  • Ability to multi-task and to prioritize own workload.

  • Ability to maintain filing system.

  • Ability to work without supervision under pressure.

Preferred Qualifications

  • Bachelor’s degree or hours toward a bachelor’s degree

  • Minimum of 2 years of experience as an administrative assistant, preferably in an academic department.

  • Knowledge of TXST university/academic policies and procedures.

  • Experience in P-Card management.

  • Experience supervising student workers.

Job Description

The Administrative Assistant III provides administrative and clerical support to program chairs, department chairs, deans, or directors.

Job Duties

  • Maintain faculty records, staff, and personnel files and review for completeness.

  • Complete all hiring paperwork and PCRs for faculty, graduate assistants, staff, and student workers funded from main departmental accounts.

  • Assist the Chair with the department operating budget and monitor budget records in SAP .

  • Prepare monthly budget reports and special budget reports as needed.

  • Assist the chair with faculty workload reports and annual review materials in Faculty Qualifications.

  • Assist the Chair and coordinate with University Advancement to keep track of departmental endowed account balances and manage funds distribution according to the Scholarship and Award Committee’s recommendations and Chair approval.

  • Compose, type, and proofread correspondence and forms.

  • Serve as HR Liaison.

  • Maintain records of faculty office and other departmental office assignments.

  • Maintain departmental calendars as needed.

  • Serve as time administrator for the department.

  • Assist department chair, associate chair, and department committee chairs and other staff members to organize department events, including guest speakers, conferences, and alumni reunion and student celebration, etc.

  • Coordinate food and item ordering, set up, and break down of department events including colloquium speakers, department lunch events, etc.

  • Take faculty meeting minutes and prepare for distribution.

  • Expectation to attend /coordinate selected departmental events that may occur in the evening and /or occasionally on a weekend.

  • Maintain an inventory of department promotional materials and office supplies.

  • Provide insight on process improvements and successful outcomes.

  • Manage and monitor department TouchNet activities.

  • Attend university staff development workshops and /or training sessions as appropriate for ongoing professional development.

  • Other duties as assigned.
